Welcome & Partnership Framing
Open with genuine gratitude for parents' time. Be explicit about the purpose: this is not a meeting where we tell you what we've decided — it's a session where we figure it out together. Name the specific topic or challenge. Acknowledge that parent perspective is not just welcome, it is essential to getting this right.
Context Setting: Here's What We Know
School staff briefly share relevant context: the problem or opportunity, any data informing it, and what's been considered so far. Be transparent about what's already decided and what is genuinely open for input — don't ask for feedback on things that aren't actually open. Parents deserve honesty about the constraints.
Parent Experience Share
Before any problem-solving, create space for parents to share their lived experience related to this topic. Use a structured protocol: each person at the table shares, one at a time, without interruption. Facilitator listens and captures themes on chart paper. Staff should be in listening mode — this is not a debate.
Mixed Table Co-Design
Mix parents and staff at each table deliberately. Pose one design question: 'How might we ___?' Tables work on responses together using sticky notes or a shared template. Encourage wild ideas first, then realistic ones. No idea is dismissed. Staff should be co-contributors, not evaluators, at this stage.
Gallery Share & Dot Vote
Each table posts their top 2–3 ideas. Everyone does a brief gallery walk and places dot stickers on ideas that resonate most. Facilitator tallies and shares results with the whole group. Discuss: What patterns do we see? What ideas surprise us? What feels most actionable?
Next Steps & Accountability
Name 2–3 concrete next steps the school commits to based on today's session — and a timeline for sharing back what happens with the input. Invite parents who want to stay involved to sign up for a follow-up group. Close with appreciation and a clear promise: we will come back to you with what we did with what you shared.
